Communicate with your Participants

A Key component of a successful “Peer to Peer” social fundraising campaign is to communicate regularly with your participants in order to educate them about your cause and recognize their contributions towards the effort. The benefit of allotting proper time to communicate with your participants should hopefully yield highly motivated participant fundraisers to reach a wider community of donors.
                                   
Below are a few ideas of how to best connect with your participants through to the finish line!
  • Thanks. As soon as a someone registers for your event, set up a system where they receive an email noting your appreciation for them joining the ranks and raising money for the cause. Direct them to online materials that include talking points about the cause. Direct them to the event website FAQ page that details how the event works.
     
  • Thank them again with each milestone they hit. Each new goal that is important to the organization (i.e. $100, $500, $1,000) deserves a quick congrats. Let the participants know your appreciation, for their milestone achievement, helping the organization raise funds for the cause. Every dollar counts.
     
  • Branding. Your logo and cause statement should be on all communications to the participants, sponsors and general community.
     
  • Personalization. When possible use specific examples and personal stories of how your organization has helped individuals in the greater community even if you don’t list their names.
     
  • Tips. Offer your participants help with fundraising or training if you see that they are struggling. Don’t push, but send practical tips and fundraising ideas.
     
  • Surveys. Ask your participants for feedback. The feedback can provide a new perspective and shows that you appreciate their input.
     
  • Information. Before and at the event, make sure there is adequate information and signage regarding the weather, t-shirts, food, parking, and toilets.  A well-organized event will leave participants with a positive feeling about the organization and event. You want them to participate again the next year.
     
  • Finally, send a thank you email to your participants shortly after the event. Show appreciation for what they have done in support of the cause.  
Methods:
  • Social media channels that are most popular with your demographic.  For example Facebook page for posting updates and discussion.
     
  • Email sent weekly or bi-monthly with key highlights, motivational text, and progress updates.
     
  • Lots of pictures and videos. Instagram is easy to use to make it personal and interesting.
     
  • WhatsApp/SMS/Messaging App to answer questions easily or to post quick updates.
     
  • At the event, include signage recognizing lead participant fundraisers along with corporate and family foundation sponsor logos.  
Your goal is to keep your participants involved, excited, and motivated to promote and raise funds on behalf of your cause!
